Daily milk payments

Hi Faith I booked some children/staff for a hot meal today, but arbor hasn't charged them. It has changed the meal type only.

Child name: Saifan faisal, Angel Rose Grant, Ameena Hussain,Eisa Hussain,Antionio Margel, Anelissa Margel

Staff, Karamat Jan, Charlene Hare, Nafisa Abbass.

Also all children that have paid for milk it's not deducting any money from the total. If you go in to accounts you can see who they are.

Can you also tell me how to delete duplicate record for a child

I emailed you before Xmas regarding creating a report for all children in reg group their Names, dob, gender, address, tel and ethnicity. I need help creating that as the school nurse needs the info.

Thank you

Hi Zanubia,Hope you're well!To answer your questions:1. Report Showing Students DetailsI believe we went through this via the student list download, but what I've done for you today is I've created a report under the Custom Report Writer:https://city-road.uk.arbor.sc/?/custom-report-ui/view/id/39 2. Meal and Milk ChargesThe hot meals for today look like they have been charged apart from Anelissa's:https://city-road.uk.arbor.sc/?/customer-account-ui/invoice-dashboard/account-type/2 Please confirm that this is true.In terms of the milk charges, it looks as though Ayaan's is showing correctly - can you give me an example of an account that isn't correct?3. Delete Duplicate Record for a ChildI have to do this for you so please let me know which profile you want to delete for which child.Best wishes,

Hi

If you look at Ayaan Shezad year 4 milk record it is showing that he is 11.80 in credit which is false because he had milk last half term and this half term aswell. I put £6.00 in his account on 4/1/17, you can see that noting has been deducted at all, another example is Zaid Malik . The same issue is with all the other accounts. Just checked the dinners as I booked them it didn't charge but now it has so that is sorted.

Thank you

Hi Faith hope you had a great weekend. Ayaan's milk money I go in to milk top ups and record the money that way. I just realised has the milk account been sent up like dinners. May be that's why its not deducting money and just adding. Can you please check.

Thank you

Hi I just log the money in, sorry I thought everything was setup like dinners. I ordered milk by counting how many children have paid.

Hi Zanubia,It sounds like the system has been used to enter credits only, and not what the children are taking regarding milk - therefore what they might be owing. If we don't have invoices and debits for the children taking milk, then this may not be a true representation of how much milk is taken.I'm sure that there is a record of the children taking milk - is this taken in class? Ideally, this needs to be recorded by the pupil's account under their invoices either day by day or at least week by week - so that you can order the appropriate amounts of milk, as well as know which accounts owe money/need to pay.Let me know if there's a problem with entering this data. You can always add invoices for each child to sum up what they owe already for the academic year to date?Best,

Hi Faith,

From conversations with Zanubia regarding Milk money I have gathered the following issues…

On Meals we can:-

· Change a pupil to reflect they have had a meal (and not a packed lunch for a change)

· This change adds the price of a meal to their account

· All pupils who are set up to have a meal by default get charged when their attendance is recorded

· Pupils who are set up for meals by default will NOT be charged when they are absent.

· All these changes add or credit their account balance daily

All of this is great. We would like this to happen for Milk as well so that:-

· Change a pupil to reflect they have had MILK

· This change adds the price of MILK to their account

· All pupils who are set up to have MILK by default get charged when their attendance is recorded

· Pupils who are set up for MILK by default will NOT be charged when they are absent.

· All these changes to add or credit their account balance daily

At the moment we can only record taking money for Milk. The system is NOT taking daily milk usage and adjusting accounts accordingly.

All Pupils up to the age of 5 qualify for Free MILK. Only pupils whose parents are on benefits qualify for Free MILK after that.

All other pupils must pay for MILK if requested.

Cheers,

Darren.

Thanks for this clear feature request, Darren.
I'm putting it forward but don't expect to hear an update until next week at least. However, I see the need and priority that this takes so I'll update you as soon as I can.
One thing you can do in the meantime is add an invoice for children via their profiles... However, this may be time consuming and there is not currently a way to do this on bulk.
I'll push it, don't worry.
In terms of our chat today, is there anything you wanted to cover? I sent Mary and Jackie notes about these remaining student duplicates which I hope was received ok.
I'll check the census between now and our call.

Hi Faith,

Thanks for the updates. I guess an overall update on where we are with things and the census status. Plus an update on how we can input part payments into a tip such as our end of year residential we have.

Was it 10:30? Can’t remember…

Cheers,

Darren.

Hi Darren,
10:30 is the time.
I'm attaching three screenshots showing the key remaining errors that I could detect when ordering the list.
Now, the DfE have told us that the Country of Birth can remain as Not Yet Obtained (NYO) for this census - however, we know how they like to change their minds last minute. My advise is to do as much as possible.
From my understanding, your LA won't be putting too much early pressure on to receive the census so time is still on our side, and it's not as bad as it looks!
There's also a handy grey button entitled 'DfE forum and known errors' to get guidance on errors with language that isn't clear.
Otherwise, we'll cover enough today to keep us going.
Speak soon,

Problem:At the moment, users can only record taking money for Milk e.g. adding credit in the top ups section or individually and painstakingly adding invoices for Milk. The system is NOT taking daily milk usage and adjusting accounts accordingly. This primarily affects finance/admin staff in schools that are using the system for recording Milk payments. All Pupils up to the age of 5 qualify for Free MILK. Only pupils whose parents are on benefits qualify for Free MILK after that. All other pupils must pay for MILK if requested. The school itself here, are wanting to move over to Stripe for their payments and want parents to be able to come to one place - Arbor - for all their payments, thus need Milk payments possible in Arbor, otherwise they may continue using alternative payment methods/platforms.Evidence from the IT technician and Finance staff is as follows:On Meals we can:-· Change a pupil to reflect they have had a meal (and not a packed lunch for a change)· This change adds the price of a meal to their account· All pupils who are set up to have a meal by default get charged when their attendance is recorded· Pupils who are set up for meals by default will NOT be charged when they are absent.· All these changes add or credit their account balance dailyAll of this is great. We would like this to happen for Milk as well so that:-· Change a pupil to reflect they have had MILK· This change adds the price of MILK to their account· All pupils who are set up to have MILK by default get charged when their attendance is recorded· Pupils who are set up for MILK by default will NOT be charged when they are absent.· All these changes to add or credit their account balance dailyPrioritisation:This would have a high value to our users as they would be able to continue using the Arbor system for their payments, as well as bringing across all payments to the Stripe system we are partnered with. This problem is fairly time critical as the children take Milk daily and records need to reflect that - the longer we delay, the more we risk losing the chance of these clients moving over to the Stripe system, causing further frustration with the limitations of Arbor RE payments. This will solve the risk of customers leaving as they could continue to use Arbor for all their payments, keeping it all in one place and saving plenty of time for their finance/admin staff as well as the parents who are very engaged with Parent Portal.

The Aha! Idea has changed status to Needs review. https://arbor-education.aha.io/ideas/ideas/INSIGHT-I-27

Hi Faith,I've read the full tickets but it's really not clear to me what product/engineering tasks we need to do to help support this user story. Why can't they use the meals module for recording Milk, if the key thing they want is for milk invoices to be driven by attendance (i.e. if you're not at school, you don't pay for milk that day?)BestEmile

Hi Emile,I understand your point, but it is not possible to have more than one meal choice. Children could not have a hot school meal, and also have a milk recorded for the day - otherwise, this idea would work.Unless there is a way to have milk AND a meal?I was wondering how it would work to have an option to add milk in addition to the meal.I've tested in Sunnyville with the 'Faith Hill' student and the two meals seem to clash e.g. Breakfast at Tiffany's and Milk. Please feel free to test and feedback.Faith
